Learn how to create an Audience segment in Fastory to retrieve the data collected by your chatbots per experience and export your qualified contacts as a CSV.
Do you use a chatbot to qualify your participants during a quiz, an Instant Win or a Fanzone experience? All of this information can be centralized and leveraged in Audience, Fastory's native CRM. This article shows you how to create a segment to retrieve exactly the data collected by your bots for each experience, then activate your audience with a CSV export.
What is it for?
Audience gathers all of your segments, that is, saved filters you create as you use Fastory: by campaign, by game, by bot, by period, and so on. Each segment is a ready-to-reuse view for your analyses, exports and activations.
By creating the right segment, you retrieve exactly the data collected by your chatbot for a given experience: who participated, who filled in the form, and which information was provided. It is the simplest way to turn participations into an actionable contact base.
Access Audience and create a segment
- Go to the Audience tab of your workspace.
- You land on a table listing all the segments already created.
- Start creating a new segment.
- Select the experience(s) of your choice (game, landing, Fanzone), as well as a bot if relevant.
- Save your segment: it becomes a reusable view in your table.
Choose the right combination
The content that shows up depends on how you combine experience and bot when creating the segment:
- An experience alone (leaving the "all linked bots" option): only the data matching participations shows up, including participants who did not fill in anything in the bot.
- A bot alone: everyone who entered at least one piece of information in the bot is displayed.
- An experience + a bot: only people who played the game and filled in at least one piece of information in the bot appear. This is the most qualifying combination.
Export the collected data as a CSV
When exporting your CSV file, you first choose the scope of the data:
- All the experience data
- Bot data only
If you choose all the experience data, you then specify the level of participation to keep:
- All player participations (one row per participation if a player played several times)
- Only the best participation
- Only the first participation
- Only the last participation
Best practices
- Name your segments clearly (by campaign, game, bot or period) to find them easily in the Audience table.
- Check the experience / bot combination before exporting: it directly determines the volume and quality of the contacts you get.
- Reuse the same signup bot across several experiences to consolidate your leads in a single segment.
- Choose the participation level that fits your need (last participation for an up-to-date base, all participations for analysis).
- Before any activation, filter on consent (opt-in) to stay compliant in your follow-ups.
Concrete use cases
If you want to retrieve all participants, even without a completed form
Create a segment by selecting the experience only and leave the "all linked bots" option. You get all participations, including those without a completed bot.
If you want to isolate your qualified leads
Create an experience + bot segment. Only people who played the game and filled in at least one bot field are displayed: these are your most engaged contacts.
If you want to collect leads from a multi-game event
Reuse the same signup bot across several experiences, then create a bot-only segment. You get a consolidated view, ideal for post-event activation.
FAQ
How to retrieve only the participants, even without a form?
Create a segment by selecting the experience only and leave the "all linked bots" option. Fastory then displays all participations, including those without a completed bot.
How to list only the people who filled in at least one bot field?
Select only the bot in your segment. Audience displays everyone who entered at least one piece of information, whatever the experience involved.
Why do my numbers differ between "experience alone" and "experience + bot"?
Because "experience alone" counts all participations, including those without a form, while "experience + bot" keeps only the participants who filled in the bot. It is therefore normal to get a lower volume with the second combination.
How to improve my bot's completion rate?
Reduce the number of questions, place the key fields at the beginning and highlight the value for the participant (prizes, VIP access). Short conversational components and A/B testing your wording also help increase the completion rate.
Can I export my segments?
Yes. Once the segment is displayed in Audience, you can export it as a CSV to your CRM or emailing tool for the next steps (nurturing, retargeting). Remember to filter on opt-in before any follow-up.
